How do I access the Contract Database?

What do I see when I click on the link?

  • A list of Contracts & Agreements.

  • In order to view solicitation documents, click on view documents

How do I search within the Contract database?

  • Type in keywords (ie: Mow or lawn or landscape, or Maintenance or engineer) or page through by selecting arrow at far right of screen.6-SearchDatabase-Edited

I am not able to view the document?

How do I return to the main menu?

  • If you are viewing documents by using a keyword, you will need to close out the screen by selecting the X in the upper right-hand corner.
  • Then click on the arrow on your navigation bar.
  • Click on RESET button on your search bar.
  • This will bring you back to the first page of all the Contracts.
  • If you are viewing documents by paging through the contracts, you will need to close out the screen by selecting the X in the right corner.
  • Then click on the arrow on your navigation bar.
  • This will bring you back to the first page of all the Contracts.

How do I contact the specific Purchasing staff member associated with each contract?

  • The contract list contains the Purchasing staff’s initials after the solicitation number (ie., 2013-63/GD is for Ginny Duyn; Agreement 2018-16/KR is for Keith Raney; Agreement 2018-50/AS is for Alla Skipper), see Purchasing Staff Directory.

How are the methods of Procurement identified within the contract database?

  • The abbreviations precede the solicitation year

  • RFP - Request for Proposals
  • RFB - Request for Bid
  • FQ - Formal Quote
  • PB – Piggyback
  • SS - Sole Source
  • JC - Joint Cooperative

How are the “Approval” levels identified:

  • CA - Commission Approved
  • AA - Administrative Approval (from Purchasing up to and including City Manager)
